SilentOne is an Electronic Document and Records Management System (EDRMS) that provides an integrated approach to identifying, capturing, retrieving, sharing, and managing file-based information.

SilentOne will enable your organisation to search more effectively, from a single query. You can search all of the documents and records relating to a specific topic regardless of the application or the location of those documents. SilentOne reduces the time taken trying to locate documents and records – often people end up retyping when they can’t find what they are looking for.
Organisations want to ensure that documents are widely available but they also want to control security at the individual and file level and SilentOne allows you to do this.
SilentOne gives a means of making information located by individuals within an organisation available to everyone. For example information located on the Web – either the url or the web page can be checked in to SilentOne and searched on.
Being able to track and provide an audit trail for documents or records usage and creation is imperative in our information society. Simply being able to access all your documents from any location and ensuring the system is uncluttered with copies of hybrid documents provides a company with the ability to make better informed decisions faster in order to gain competitive advantage.
SilentOne provides organisation-wide filing convention to facilitate fast filing and retrieval of all electronic documents.
The term “Knowledge Library” is used to convey the concept, that
all files regardless of their location can be grouped as though in
a single information repository. In practice the documents are
likely to remain widely distributed. The “Knowledge Library” is a
virtual resource.
Users of the system can access information stored internally (files
within their organisation) and simultaneously access information
stored externally (files stored on computers operated by another
organisation).
Additionally, “Knowledge Library” describes the fact that the
system not only contains files but further information about those
files i.e. metadata such as author, date, last version, modified by
etc.
SilentOne provides a unique approach to managing files. It has married the benefits of
the web with robust functionality for file control. The result is
a comprehensive system that handles an enterprise’s need for managing
files, be them paper or electronic, of all types in all
locations.
Because SilentOne does not create the
content files (it does create the metadata files) it is best thought of
as a Cyber Librarian. Not only does your Cyber Librarian help
you find the information you want quickly and easily, it
also manages all necessary security, integrity, classification
and record housekeeping functions. The Cyber Librarian can manage all of your
files for you.
Server-side you will require either Microsoft Windows 2003 Server, Novell Suse or RedHat Lunix. We recommend a dual-processor server, with at least 1GB of RAM. A SQL relational database is also required. SilentOne currently supports PostGRES, MySQL and Microsoft SQL Server. On the client-side you require Windows XP, Microsoft Office 2000/XP/2003, and Internet Explorer 6 (and above). Mozilla Firefox and Opera are also supported.
Remote access is possible if you are able to make a secure connection to your SilentOne server (often via a VPN [Virtual Private Network] connection). Please ask your network administrator if this is possible for your organisation.
The current version of SilentOne is 3.0 (released June 2007).
SilentOne is the name of the software product. Silent One (with a space) is the name of the company that makes SilentOne.
