What is SilentOne?

SilentOne is an Electronic Document and Records Management product based on Internet protocols that provides an integrated approach to:

  • identifying
  • capturing
  • retrieving
  • sharing
  • managing

an organisation's file-based ("unstructured") information.

Typically organisations have difficulty providing fast and effective access to their file-based information because there are often:

  • many file servers
  • many and variable classification hierarchies (folder directory structures)
  • duplicate information
  • no advanced search tools
  • too much paper

SilentOne allows organisations to create a Knowledge Library(s) with a common user interface that enables fast searching of multiple information stores.

What will SilentOne do for me?

SilentOne will benefit organisations that place importance on the availability and the control of file-based information. For many organisations it is increasingly important to empower their employees by allowing them to have on-line access to all information relative to their role and responsibilities. This is achieved through the creation of knowledge libraries and by applying business rules to ensure controls such as security are applied.

The ability to quickly search and retrieve relevant information from potentially many large and disparate sources makes for better decision-making.

Advanced search and management tools reduce information overload and at the same time, the richness of the information retrieved helps users become experts.

SilentOne is ideally suited to business-to-business information commerce, where multiple organisations wish to share a common pool of files regardless of their ownership and physical storage location. It is an extremely affordable solution in comparison to its competitors.

How does SilentOne work?

SilentOne operates on a Microsoft Windows Server 2003, Linux or Novell Netware operating system to create libraries of personal, corporate and global information. The information within these libraries is available to authorised users from either Web or Windows applications, including the Microsoft Office suite of applications.

SilentOne's architecture uses the Internet standard HTTP(s) protocol as its transport mechanism, and connects to the organisation's User Directory via LDAP for user & group authentication.

The product provides a common taxonomy (classification system) for the enterprise. Each file is assigned to an information class within an information class hierarchy. Business rules are applied to each information class to ensure that each file is managed and is available to all authorised users. SilentOne records and maintains information about all of the files in each Knowledge Library.

SilentOne has a database for metadata and security information storage, which dramatically increases the performance and scalabilty of SilentOne.
